Terms of Use

Effective date: 9 October 2026.

These terms describe use of CampusLedger, the financial governance and recordkeeping service developed under NOVAHEX at campusledger.me. Questions can be sent to charlesngatia522@gmail.com. By using the service, you agree to these terms. If you do not agree, do not use it.

Accounts and authorized use

Provide accurate account information and use only accounts and organization access you are entitled to use. If acting for an organization, you must have authority for the actions you take. Keep your password, authenticator and recovery codes private. Use Account security to review sessions and linked sign-in methods, and report suspected unauthorized access promptly.

Google and GitHub sign-in are optional ways to authenticate where available. Their services have separate terms and privacy policies. CampusLedger still requires its account-security checks. Removing a linked provider requires another available sign-in method so that you are not locked out.

Financial records and funds

CampusLedger helps organizations record contributions, budgets, expenses, approvals, evidence and reconciliation. It is not a bank, wallet, escrow service or custodian. Funds remain in the organization's external accounts. A record or approval in CampusLedger does not by itself execute a payment, establish settlement or guarantee that funds were received.

Your organization remains responsible for its financial decisions, payment destinations, permissions and independent verification of transactions. External payment services operate under their own terms. Test or demonstration transactions are not proof of real payment. CampusLedger is not a substitute for professional accounting, legal or financial advice.

Content and responsibilities

You retain your rights in information and documents you submit. You authorize CampusLedger to host, process and display them as needed to provide the service, apply organization permissions, maintain audit history and respond to support or legal requirements. Your organization determines who may access its records within the service's role controls.

Submit information you are authorized to share, keep records accurate, and use the available correction workflows when records are wrong. Do not upload unlawful content, impersonate others, falsify payment evidence, access another organization's data, bypass security controls or interfere with the service. Do not upload passwords, private keys or unrelated sensitive personal information as financial evidence.

Availability and changes

CampusLedger is under active development. Features may change, and outages or errors may occur. Keep independent copies of important records and verify outputs before relying on them. No uninterrupted availability, payment outcome or error-free reporting is promised. Nothing in these terms removes rights or obligations that cannot lawfully be excluded.

We may restrict access when necessary to address misuse, unauthorized activity, security incidents or legal requirements. Restrictions do not transfer ownership of organization funds to CampusLedger. Contact support if you believe access was restricted incorrectly or need help retrieving records you are entitled to access.

Privacy and ending use

The Privacy Notice explains information handling, service providers and how to request access, correction, export or deletion. You may stop using the service and revoke sessions or provider access. Contact support for account or organization-data requests. Ending account access does not automatically erase financial records, audit history or backups.

Updated terms and questions

Updated terms will show a new effective date. Material changes will be communicated through the service or account contact information where appropriate. Review changes before continuing to use affected features. Contact support about questions or disputes so they can be investigated.
